Personnel Procedures

Infographic - Personnel Procedures at a Glance
Clovis Unified is dedicated to keeping our 6,000+ employees safe and properly equipped as we open schools for in-person and digital instruction. Therefore, we have implemented the following wide-ranging protocols for the district, employees and visitors.

To help prevent the spread of COVID-19, CUSD employees are expected to:

  • Self-monitoring health screening upon entry to all facilities
  • Utilize online tools for meetings and events
  • Wear face covering in accordance with local and state directives
  • Avoid group gatherings and practice social distancing
  • Regularly clean and disinfect workstation and surfaces
  • Stay home utilizing leave entitlements if ill
  • Minimize close contact with others (e.g., physical greetings, handshakes, hugs)
  • Practice proper hand hygiene, including washing hands often with soap and water for at least 20 seconds, or using an alcohol-based (60% or higher) hand sanitizer frequently to remove pathogens
  • Maintain a clutter-free workstation to promote efficient and regular cleaning and disinfecting
  • Temperature checks will be conducted at school sites prior to students and staff entering the campus

Employee and Visitor Health Screening Protocol

All CUSD employees and visitors are required to “self-certify” by answering the questions below prior to entering the building.

  1. Are you experiencing fever/chills, body aches, headache, repeated shaking/tremors, fatigue, nausea, vomiting or diarrhea?
  2. Are you experiencing new or worsening respiratory symptoms (shortness of breath, cough, congestion/runny nose, sore throat, or new loss of taste or smell)?
  3. Has anyone in your household been confirmed or have you had close contact with anyone diagnosed with COVID-19 in the last 14 days?

Employee Steps:

  • If you answered “Yes” to ANY of the questions: Employees must report possible COVID symptoms to your supervisor to comply with Health Department contact tracing. Please stay home or go home and follow the isolation guidelines.

  • If you answered "Yes" with symptoms: You must isolate until the following requirements have been met:
    1. 10 days since symptoms first appeared with
    2. 24 hours (1 day) with no fever (without the use of fever-reducing medicine) and
    3. Symptoms have improved, and are not new or worsening.
If you test negative, you may return sooner when symptom free for 24 hours (1 day) with no fever (without the use of fever-reducing medicine).
Click here to view the COVID-19 Contact Tracing & Quarantine Guidelines chart.

  • If you answered “No” to to all questions: If employee has no fever and respiratory symptoms, they can work AFTER washing their hands and need to follow social distancing, frequent hand hygiene and cleaning of their workspace throughout the workday. Masking with cloth mask is required in non-clinical roles if employee works around other employees or public, and physical distancing (6 feet apart at all times) is not possible due to the nature of the work.

Visitor Steps:
  • If you answered “No” to ALL questions, visitor may proceed onto CUSD sites.
  • If you answered “Yes” to ANY questions, visitor must not enter CUSD sites and should go home.

Employee Notification Process

In addition to contact tracing and quarantine guidelines, if the district is notified of an employee or student who has tested positive, employees will be notified on a site or department level that a positive case has been reported.

The following process will occur in the case of a positive COVID test of a Clovis Unified employee:
  • The employee with a positive COVID test or symptoms contacts their immediate supervisor. The employee should be sent home and advised to submit a FFCRA leave request through the District website Human Resources page.
  • The supervisor and employee identify those in close contact with the employee in the last 48 hours. (Refer to COVID-19 Contact Tracing & Quarantine Guidelines chart.)
  • The supervisor contacts Plant Operations to request disinfection of the identified location by the district sanitation disinfection team.
  • The supervisor contacts Nursing Department or site School Nurse for contact tracing to determine appropriate isolation period for employee and determine if any staff needs notification of close contact exposure.
  • Director or Principal sends two communications:
    1. To staff members that may have had close contact exposure as determined by contact tracing.
    2. To all site/department employees not exposed but are employed at the location for informational purposes.
  • The employee that tests positive and anyone that is required to self-isolate may submit an FFCRA leave request through the District website Human Resources page. Questions regarding leave options can be directed to Human Resources.

Visitor and Substitute Protocol for Arrival at a CUSD Site

To minimize the amount of exposure among staff and students, the following procedures are in place for arrival of visitors and substitutes to CUSD sites:
  • To ensure safety protocols and self-certification of health, all visitors must enter the main building entrance when visiting a CUSD site
  • Visitors are highly encouraged to schedule appointments in advance of arrival; walk-in visitors will be seen based on availability and at the discretion of the department
  • All visitors and substitutes will be expected to self-certify their health status before entering an CUSD building or school site by answering the health questions listed on posted signs at main entrances
  • The front reception will contact the staff member prior to allowing visitors to enter a work area
  • Staff must make every effort to answer calls from the main front reception desk

Disinfecting Protocol

The CUSD Custodial Department will provide regular disinfecting and cleaning of common areas and equipment, including high-touch surfaces such as door handles, counters, light switches and breakrooms at all CUSD sites and facilities. Deep disinfecting will occur in all classrooms and work areas during routine nighttime service. Cleaning supplies will be available in high-traffic areas of office settings for staff use. Disinfectants should not be applied on items that children might put in their mouths. Cleaning toys and other items used by children should be done with soap and water or an appropriate sanitizing solution.
