Open Enrollment

Annual Open Enrollment Begins April 8, 2024 through May 17, 2024!

Starting this year, Clovis Unified employees who are required to participate in Annual Open Enrollment will see some exciting changes! The Benefits Department will be launching a new internal Open Enrollment system for all CUSD benefit coverage options. We will still continue our partnership with American Fidelity for all voluntary benefits. All voluntary benefit selections will need to be done through American Fidelity's enrollment site directly.

What's Changing?

CUSD Enrollment must be done on a District computer
The new system will automatically log the user in based on their CUSD login credentials
Open Labs will be provided for any employees needing access to a computer or for those needing additional assistance from a Benefits Representative
All Voluntary Benefit changes/enrollments must be done separately through American Fidelity's enrollment system
CUSD Benefit options will no longer be reflected in American Fidelity's enrollment system
The new enrollment system is encrypted, allowing users to easily and securely upload dependent verification documents
American Fidelity representatives will not be verifying tax documents on behalf of the Benefits Department

What's Not Changing?

All benefit eligible employees including those who are waiving benefits are required to complete enrollment by the deadline. If enrollment is not complete by May 17, 2024, coverage will be terminated for the following plan year.
Dependent Verification Review will be required for all spouses and any new dependent children who are not already existing on The Plan
Those who are unable to provide proof of eligibility due to not filing 2023 taxes by May 17, 2024 will be provided the opportunity to Appeal (extend) the deadline for the Dependent Verification Review
The option to verify proof of eligibility documents in-person will still be provided
American Fidelity will continue to be available by appointment for those who would like to meet with a representative

Open Lab Schedule

The Benefits Department will be hosting Open Labs at the Technology Computer Lab from 8:00AM to 5:00PM on the following dates (walk-in basis):

Labs are open to all benefit eligible employees and District computers will be available for use. A CUSD Benefits Representative and an American Fidelity Agent will be available to assist employees as needed.

Dependent Verification Review Documents

Page 1 of your 2023 IRS 1040 form (confidential information can and should be redacted)
If married within the last 12 months, an original Marriage Certificate with the official state seal is acceptable
Page 1 of your 2023 IRS 1040 form is required for the Dependent Verification Review (DVR). If someone has not filed, they are required to complete the CUSD Open Enrollment AND select the Appeal option in order to be granted a temporary extension for providing the necessary documentation. Those who select the Appeal option will have until 10-31-2024 to verify their spouse with Page 1 of the 2023 IRS 1040 form.
For new children dependents added during Open Enrollment, an original birth certificate or signed court order is required.
The new CUSD Open Enrollment system allows employees to securely upload their DVR documents directly into the encrypted system.

Important Enrollment Information

Employees that complete their Online Open Enrollment AND Dependent Verification Review will be entered into a raffle with the chance to win 1 of 10 $100 Amazon gift cards.
Dependents may be added or deleted from an employee’s benefit plans during the Online Open Enrollment period.
- The effective date for dependents added during the Online Enrollment period will be September 1, 2024.
- The termination date for dependents dropped during the Online Enrollment period will be August 31, 2024.
To add or delete a dependent at any other time of the year (outside of the Open Enrollment period) a Change in Life Status must have occurred.
- Examples of a Change In Life Status are a marriage, divorce, birth, death, loss of other group health insurance or gaining other group health insurance.
- To add or delete a dependent due to a Change In Life Status, the change must be made within 31 days of the Change In Life Status and proof of the Change In Life Status must be submitted to the Benefits Department.
- If an employee does not add or delete a dependent within 31 days of a Change In Life Status the employee will lose the opportunity to do so and must wait for the next Open Enrollment period to add or delete the dependent.
Please be advised that that if you participate in the Disability Income Protection with American Fidelity, it is encouraged that you meet with an agent during Open Enrollment to review your current coverage and help you make any necessary adjustments. Disability benefits do not automatically adjust to correspond with salary changes and employees must acknowledge the change to cover the income they wish to protect for any future disability claims.

You must complete your Online Open Enrollment AND your Dependent Verification Review no later than Friday, May 17, 2024. Failure to do so will result in your benefits terminating effective August 31, 2024.
